Position Overview

The People & Culture Officer (Preboarding & Onboarding) plays a vital role in crafting a memorable and engaging onboarding journey for new hires, from the moment they sign their offer through their first 90 days on the job. This role focuses on building meaningful connections, creating a sense of belonging, and creating a smooth transition into the company culture.

The Officer ensures that all pre-employment requirements are completed efficiently while designing experiential touchpoints that make new employees feel welcomed, valued, and excited to start their journey. From personalised welcome experiences to ongoing check-ins, the goal is to set each new hire up for long-term success and engagement from day one.

Responsibilities

Preboarding:

  • Coordinate with the Talent Acquisition team to ensure smooth handover of information and candidate experience post-offer acceptance.
  • Coordinate and track all pre-employment documentation, ensuring all paperwork is accurate, signed, and submitted on time.
  • Liaise with internal teams (e.g. Government Relations, IT, Employee Relations) to initiate and follow up on onboarding requirements such as visa processing, medicals, IT Equipment and any additional tools required.
  • Collaborate with the travel coordinating team or camp management team (if applicable) to arrange flights and accommodation.
  • Communicate regularly with new hires to provide timely updates, answer queries, and ensure a positive and encouraging preboarding experience.
  • Maintain regular updates in the system on the new joiners preboarding status, to provide clarity to hiring managers on new joiners status.
  • Coordinate with site administration/office administration for airport transfers
  • Work with Line Managers to ensure onboarding plans are tailored to each new hire's role and department. Ensure onboarding packs, welcome kits, and equipment (laptops, phones, etc.) are ready prior to the employee's start date.
  • Ensure activities on the preboarding platform are engaging and equip them with the information required to support with a successful welcome experience.

Onboarding:

  • On the new hire's first day, provide them with all onboarding materials, including welcome kit, and any role-specific tools (e.g., laptops, phones, safety gear).
  • Communicate with new employees to confirm medical insurance activation and other applicable company benefits.
  • Coordinate welcome messages or announcements in internal communications channels to introduce new hires to the broader team.
  • Assist in planning and executing engagement initiatives for new joiners, such as buddy programs and new joiner orientation programs.
  • Support new employees with all settling in formalities.

General:

  • Ensure all preboarding and onboarding documentation is kept up to date, relevant and focused on supporting new hired through an experiential preboarding and onboarding process.
  • Enhance offerings on the preboarding and onboarding platform, to strive for continuous improvement.
  • Carry out any additional duties as assigned by your line manager.
Requirements
  • A proactive, employee-focused approach with a passion for creating a positive onboarding experience.
  • Excellent communication and interpersonal skills, with the ability to work effectively across functions and cultures.
  • Proficient in Microsoft Office Suite, HRIS platforms, and other relevant HR tools.
  • Ability to handle sensitive information with confidentiality and integrity.
  • Educational certificate is preferred
