We are hiring an experienced Executive Assistant to support both the CEO and CFO. This is a senior support role requiring exceptional organizational skill, strong business judgment, and a high level of discretion. You will work closely with the firm's leadership on a wide range of business and administrative matters, ensuring both executives can operate at pace and with focus.
The right candidate will be trusted, proactive, and comfortable managing shifting priorities across multiple workstreams. You'll be relied on for more than just task execution your ability to maintain structure, anticipate needs, and manage information will directly impact the firm's effectiveness at the highest level.
Responsibilities
Executive Support- Manage day-to-day coordination of meetings, internal reviews, and external engagements for the CEO and CFO
- Prioritize incoming requests, protect time, and maintain alignment between strategic objectives and daily execution
- Prepare briefing materials, presentations, and documents for board meetings, investor discussions, and commercial reviews
- Monitor and manage correspondence, ensuring timely responses and appropriate follow-up
- Maintain clear visibility on key priorities and ensure nothing critical is missed or delayed
- Coordinate international travel, including flights, visas, accommodations, and itineraries, with the ability to adapt plans quickly as needed
- Act as a liaison with internal teams, business partners, and external stakeholders, ensuring communication is handled with professionalism and discretion
- Support participation in industry forums, conferences, and offsite strategy sessions
- Track and reconcile expenses, manage vendor relationships, and oversee day-to-day administrative functions linked to the executive office
- Maintain structured filing systems for contracts, board papers, regulatory documents, and commercial records
- Liaise with internal departments such as Legal, Finance, and HR on matters requiring executive input or sign-off
- Provide assistance on limited personal matters that intersect with business responsibilities including travel planning, documentation, and administrative coordination relating to family logistics
- Manage time-sensitive tasks such as visa renewals, passport tracking, and coordination with external service providers
- Handle all responsibilities with absolute confidentiality and attention to detail
Candidate Profile
We are looking for a disciplined, discreet, and commercially astute individual who is comfortable operating at pace and under pressure. You will need to be dependable, responsive, and capable of managing a high level of responsibility with minimal oversight.
Key requirements:
- 58 years of experience supporting senior executives or founders, ideally in energy, trading, private equity, or financial services
- Excellent communication skills, both written and verbal
- High degree of professionalism and discretion in managing sensitive matters
- Strong organizational capability and an ability to manage multiple concurrent priorities
- Advanced proficiency in Microsoft Office Suite (particularly Outlook, Word, Excel, PowerPoint)
- Able to manage up, anticipate needs, and navigate ambiguity with maturity and confidence
