Job Title: Admin / Assistant Project Manager

Salary: AED 6,000 per month

Officetiming: 8:00 am – 6:00 pm

Hybrid: Can work from home 3 times in a week, 2 times in the office

Purpose of the role

The Admin/ Assistant Project Manager is responsible for team coordination, project communication, follow-up, minuting & documentation, project monitoring, project reporting, contractual review & participation in procurement, and managing small projects independently.

They should be able to participate across all Project Management verticals as and when required under guidance.

Key Objectives
  • Support the coordination and management of projects.
  • Communicate with stakeholders regarding project needs and goals.
  • Contribute to the planning and development of projects. Expectations & Responsibilities related to your role

  • Research information as required.
  • Perform administrative tasks such as preparing invoices, estimates, scheduling meetings, etc.
  • Keep track of and report on project progress.
  • Complete any tasks assigned by the Project Manager in an efficient and timely manner.
  • Project Budget Planning (under guidance)
  • Project Cost & Resource Monitoring - maintaining the accuracy of project plans (under guidance)
  • Ability to proofread, review & draft contracts.
  • Sub-consultant coordination, tracking progress.
  • Meeting Minutes & Activity Tracking.
  • Meeting Setups (internally and externally).
  • Uses the company file naming and information filing standards and follows quality standards overall.
Education
  • Bachelor's degree in Administration, Management, or a related field.
  • Additional certification in secretarial or administrative support is a plus.
Experience
  • 2–5 years of experience in an administrative or project support role, preferably in architecture or design firms.
  • Experience working with Project Managers or Lead Architects.
Technical Skills
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Experience with project scheduling tools (MS Project or Primavera P6).
  • Strong data analysis and reporting skills.
  • Knowledge of Adobe InDesign and presentation design.
  • Ability to create infographics, diagrams, and visual reports.
