Events Specialist

The Events Specialist is responsible for planning, coordinating, and executing a wide range of events that support the organization's cultural programming, brand positioning, and stakeholder engagement. This includes exhibition openings, VIP events, public programs, and corporate functions, ensuring seamless delivery aligned with the organization's standards and vision.

Roles and Responsibilities
  • Plan and deliver events including exhibition openings, artist talks, panel discussions, workshops, VIP visits, and institutional functions.
  • Coordinate end-to-end event logistics, including venue setup, technical requirements, suppliers, catering, and on-site operations.
  • Work closely with Curatorial, Marketing, Communications, and Education teams to ensure events align with programming objectives and audience engagement goals.
  • Support the development of event concepts that reflect the organization's identity and enhance visitor experience.
  • Manage relationships with vendors, contractors, and service providers, ensuring quality delivery and cost efficiency.
  • Oversee guest management processes, including invitations, RSVPs, seating plans, and VIP handling in line with protocol requirements.
  • Ensure adherence to protocol, branding, and health & safety standards across all events.
  • Assist in budget planning, cost tracking, and reporting for all assigned events.
  • Coordinate with internal and external stakeholders to ensure smooth communication and execution.
  • Monitor event performance, gather feedback, and prepare post-event reports with recommendations for improvement.
  • Support international and institutional events, including high-level delegations, cultural exchanges, and global events.
  • Maintain event calendars and ensure alignment with key organizational milestones and programming schedules.
Requirements
  • Bachelor's degree in Event Management, Arts Management, Hospitality, or a related field.
  • 3–6 years of experience in event planning, preferably within cultural institutions, galleries, or luxury/hospitality sectors.
  • Strong organizational and project management skills with attention to detail.
  • Experience managing VIP events and high-profile stakeholders.
  • Excellent communication and interpersonal skills.
  • Ability to work under pressure and manage multiple events simultaneously.
  • Knowledge of the regional cultural landscape and international events is an advantage.
