Job purpose
We are seeking a dedicated and detail-oriented sales assistant to support our sales department and its operations in the automotive export industry. The ideal candidate will be responsible for managing back-office tasks, front-line clients, handling documentation, coordinating with clients and internal departments, and ensuring seamless communication to facilitate the sales process.
Key responsibilities- Provide comprehensive administrative assistance to the sales manager and chief sales officer, including scheduling meetings, managing calendars, preparing reports, creating sales and work orders, and ensuring their timely closure.
- Handle all sales-related documentation, ensuring accuracy and compliance with company policies and export regulations.
- Serve as a liaison between clients and reporting managers, addressing inquiries, providing timely updates, and ensuring a high level of customer satisfaction around the clock.
- Coordinate with various departments such as logistics, finance, and marketing to streamline processes and resolve any issues related to the sales department and its operations.
- Maintain and update client databases, sales records, and inventory lists using ERP systems and Microsoft Office applications.
- Prepare and present regular reports on sales activities, client feedback, and other relevant metrics to the sales manager and chief sales officer.
- Education: Bachelor's degree or diploma in administration, management, or a related field.
- Experience: Minimum of 2 years in an administrative or assistant role within the automotive, logistics, or consultancy sectors. Experience in the automobile industry is preferred.
- Technical skills: Mandatory proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with ERP systems. Ability to manage complex standard operating procedures (SOPs).
- Language skills: Fluent in English; proficiency in Arabic or French is advantageous. Knowledge of Hindi or Urdu is a plus.
- Strong organizational skills, attention to detail, confident client handling, excellent communication abilities, and the capacity to handle multiple tasks efficiently.
