Procurement Officer (Temp)
Job Description
Our client is an independent creative agency that designs immersive venues, gathers original content, develops compelling experience around live audiences, and organize interconnected campaigns.
They are looking for a temporary Procurement Officer will assist developing and maintaining the procurement process for all Eid Al Ittihad 54 requirements. You will communicate closely with the Project Accountant, ensuring clear paperwork is maintained, as required for the post-event audit process with the client.You are well versed negotiation and do so with clarity and respect, while keeping an eye on the bottom line.
Responsibilities include:
Work with assigned Production team departments to define procurement needs and timelines.
Create and manage all RFQ/RFP documentation, per requirements as defined with assigned departments.
Communicate with potential suppliers to answer questions, negotiate pricing, etc.
Along with assigned department leads, determine winning bid and prepare requisition paperwork for internal and client approvals (as required).
Maintain procurement tracker ensuring timely updates.
Reconciliation and variation management of assigned suppliers.
Maintenance of hard and soft copy of all procurement files.
Create POs for suppliers, in line with approved procurement requisition documents, and share with the supplier.
Work with the Finance team to ensure clean transfer of all procurement details to the Finance team who will administer supplier payments and perform post-event audit.
Obtain NPO sign-off on Procurement Requests, as required (Operations, Creative, Technical and Finance).
Meet regularly with NPO Procurement team, answering any questions or concerns (with the aid of appropriate department lead).
Manage Procurement team (two direct reports).
Other duties as required
Skillsets- Organized so that clear files are kept for all accounts payable.
- Attention To Detail is key to ensuring procurement documents are accurate and purchase orders match.
- Negotiation Skills adept at negotiating with suppliers, while remaining respectful of ongoing working relationships.
- Management skills - oversee all aspects of the procurement process, manage and support the procurement team, and create strategies to optimize procurement activities for better performance and cost efficiency.
- Time Management skills are essential in managing own time, deadlines and any tracking spreadsheets,
- Discretion is key as you work with confidential information.
- Microsoft Office excellent/advanced excel capabilities. Word and Outlook. Proficiency with Procim preferred but not required (training will be provided)
