Job Purpose

Reporting to the Design Director, the Document Controller & Project Coordinator will be responsible for managing and maintaining project documentation and coordinating project information flow. This role supports the real-estate project development team by ensuring that all project files and data are accurate, up-to-date, and accessible.

The ideal candidate will facilitate smooth project operations by retrieving necessary files and coordinating communication between stakeholders.

Key Accountabilities:

  • Document Management: Organize, maintain, and control all project-related documents, ensuring accuracy, version control, and compliance with company standards.
  • Information Retrieval: Promptly retrieve and provide project files and information as requested by directors, project managers, or other team members to support decision-making.
  • Project Coordination: Assist in the coordination of project activities, including scheduling meetings, documenting minutes, and tracking follow-ups during directors absence.
  • Communication Facilitation: Act as a liaison between project teams and stakeholders to ensure timely flow of project information and updates.
  • Reporting and Tracking: Support the tracking of project deliverables, timelines, and status reports to keep the project team informed of progress.
  • Administrative Support: Handle administrative duties such as data entry, filing, and preparing reports to aid smooth project operations.
  • Compliance: Ensure that all documentation processes comply with internal policies and relevant regulatory requirements.
  • Problem Solving: Identify potential issues related to document management and project coordination and proactively propose solutions to avoid delays.

Qualifications, Experience, Core Competencies:

  • Minimum of 6+ years&apos experience as a Document Controller, Project Coordinator, or similar role in a project-driven design consultancy or real-estate developer.
  • Proficiency in document management systems such as Procore or Aconex.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent communication and interpersonal skills, capable of coordinating effectively with diverse teams.
  • Knowledge of building project management principles.
  • Ability to prioritize tasks, manage time efficiently, and work independently.
