Job Description
The Project Manager Assistant provides support in managing large-scale construction projects by assisting theSenior Project Managerwith operational, administrative, and organizational tasks to ensure smooth project execution. This role seeks a professional with experience in international projects, strong client and stakeholder management, expertise in RFI and submission processes, and project risk management.Additionally, the assistant will actively contribute to preparing LOAs (Letter of Authorization) for subconsultants, tracking lists, and project monitoring.
Key Responsibilities
Project Management Support
Provide day-to-day administrative and operational support to the Senior Project Manager.
Monitor and update project schedules, budgets, and reports.
Organize project meetings, prepare agendas, and record minutes.
Maintain accurate and organized project documentation.
Client and Stakeholder Coordination
Facilitate clear communication between clients, stakeholders, and the internal project team.
Manage stakeholder requests and ensure accurate, timely responses.
Provide regular updates on project progress and key milestones. RFI and Submission Handling
Track and respond to RFIs (Requests for Information) in coordination with relevant teams.
Manage submission processes for proposals, reports, and other project deliverables to ensure timely delivery.
LOA Preparation for Subconsultants
Assist in drafting Letters of Authorization (LOAs) and related documentation for subconsultants.
Coordinate official communications, approvals, and contract-related documentation.
Monitor subconsultants compliance with timelines and required documentation.
Tracking and Risk Management
Create and maintain tracking logs for deliverables and key project data.
Support the development and implementation of project risk management plans.
Conduct regular risk assessments and update reports to mitigate project risks.
International Project Coordination
Support global project teams and ensure adherence to international project management standards.
Adapt to multicultural work environments and regional business practices.
Help ensure alignment with international timelines, documentation standards, and reporting structures.
Requirements to Apply
Bachelors degree (preferably in Civil Engineering, Architecture, or a related field).
At least 3-5 years of experience in international firms.
Experience in large-scale projects.
Proficiency in RFI and submission processes.
Strong knowledge of project management software (MS Project, Primavera, etc.) and office programs.
Ability to manage client and stakeholder relationships effectively.
Experience working in multicultural environments.
Proficiency in English (additional languages are a plus)
