Executive Assistant (Russian Speaking)
Job Description
We are seeking a highly organized and proactive Executive Assistant to support our Deputy CEO.

As the Executive Assistant, you will act as a trusted right hand to the Deputy CEO, ensuring smooth day-to-day operations through seamless coordination, communication, and discretion. Youll help the Deputy CEO stay focused on strategic priorities while maintaining the highest level of confidentiality and operational efficiency.
Key Responsibilities:
- Manage the executives calendar, schedule meetings, and act as a gatekeeper.
- Handle incoming communication and tasks to minimize the executives involvement.
- Organize and maintain digital files and documents across platforms (Google Drive, etc.).
- Compile and manage daily, weekly, and monthly reports.
- Assist in preparing budgets, tracking expenses, and supporting reporting analysis.
- Conduct research to support strategic decision-making.
- Follow up with teams and stakeholders on tasks, ensuring timely execution.
- Track key initiatives, providing regular updates to the executive.
- Manage special projects from planning to execution.
- Act as a key point of contact for internal and external stakeholders.
- Represent the marketing team in the executives absence.
- Support relocation and onboarding for new team members.
- Plan and organize company meetings, events, and conferences.
- Assist with occasional personal matters, such as bookings and coordinating offsite tasks.
Requirements:
- Proven experience as an Executive Assistant, preferably in real estate or a similar high-paced sector (at least 1-2 years of experience).
- Experience managing large teams (30+ members) and coordinating complex tasks.
- Excellent communication, coordination, and multitasking skills.
- High attention to detail and strong organizational abilities.
- Proactive, solution-oriented mindset with a can-do attitude.
- Proficiency in MS Office (Outlook, Excel, PowerPoint, Word), CRM or project management tools experience is a plus.
- Ability to handle confidential information with professionalism.
- Capable of working independently and managing a complex, shifting schedule.
- Russian language proficiency is a plus.
