Job description / Role

Employment: Full Time

Own and manage the full lifecycle of company registration and request for proposals (RfPs) for the UAE market, from opportunity identification to final submission. Serve as the primary point of contact for all RfP- and registration-related activities, liaising between clients, internal teams, and support functions.

Ensure smooth and timely processing of RfPs by maintaining up-to-date registrations, tracking public and private sector opportunities, and coordinating submissions. Contribute to improving the registration and RfP processes by incorporating the best practices, lessons learned, and generating insights on market trends.

Responsibilities
UAE Company Registration and Client Liaison
  • Lead the registration of the firm on client and government portals, ensuring timely and accurate submission of required documentation.
  • Maintain valid company credentials by tracking renewal timelines and coordinating the submission of financial, legal, and compliance documents.
  • Serve as the primary contact for registration-related queries, providing clear guidance to internal teams.
  • Maintain an accurate tracker of all registration statuses and ensure data is regularly updated.
  • Collaborate with internal teams (BOMs, Office Managers, Legal, Finance, HR) to compile and submit required documentation.
  • Build and sustain strong relationships with client procurement teams and government stakeholders through proactive communication and site visits.
  • Monitor updates to registration platforms and ensure the firm remains compliant on all relevant public and private sector RfP portals.
  • Coordinate with teams as needed on shared client requirements or platforms.
  • Support supplier registration and ad-hoc client documentation requests across departments.
  • Navigate ambiguous situations effectively by engaging the right stakeholders and ensuring informed decision-making.
  • Track public RFPs and RFIs on platforms such as Etimad, flagging relevant opportunities to sponsor partners.
  • Coordinate with partners to facilitate timely bid/no-bid decisions and follow up on pending inputs.
  • Summarize RfP submission requirements (e.g., technical documentation, pricing/BoQ tables) and communicate key milestones to internal teams.
  • Prepare and submit responses to general company qualification requests.
  • Liaise with engagement teams to tailor submissions to client requirements.
  • Oversee logistics related to proposal preparation, including purchasing, printing, packaging, and delivery.
  • Maintain trackers for RfP deadlines, clarification periods, pre-bid meetings, and award updates.
  • Manage submission tasks on Etimad Portal and support RfP team coverage as needed.
  • Coordinate with other firms RfP and C&M teams on shared opportunities.
  • Identify inefficiencies in the registration and RfP processes and contribute ideas to improve workflows, automation, and standardization.
  • Support the development of dashboards and tools to improve reporting and visibility.
  • Analyze registration and RfP data to extract trends and provide actionable insights.
  • Contribute to post-RfP activities such as debriefs and performance reviews to inform future improvements.
  • Maintain a strong understanding of the firm’s service offerings, client priorities, and the UAE competitive landscape

Requirements:

  • Bachelor’s degree in Business, Economics, or a related field
  • Minimum 5 years of relevant experience in company registration, RfPs, proposal management, business development or a similar role within a consulting or professional services environment
  • Proficiency in MS Office and Suite productivity tools (drive, G-suite, etc.)
  • Strong organizational skills and attention to details to handle effectively multiple priorities and meet tight deadlines
  • Excellent verbal and written communication skills with the ability to effectively articulate complex ideas
  • Ability to work independently in a fast-paced and unstructured environment
  • Proactive mindset, problem-solving abilities, and a commitment to delivering high-quality work
  • Service-oriented attitude, proactive thinker, team player
  • Strong interpersonal skills and ability to build relationships with seniors and various stakeholders across levels
