Admin Coordinator (Recruitment Events)
Job Description
We are looking to hire an Admin Coordinator who will be responsible for coordination of recruitment events and trips, arranging travel bookings, budget monitoring, system administration, ordering materials, scheduling interviews, coordinating with global recruitment agencies.This role is for our client based in Dubai, who are one of the largest companies in the region.
This position is a contract role with an initial duration of 6 months(renewable).
The role sits within the Recruitment team of the HR department.
Key Responsibilities:
- Manage end-to-end travel arrangements for the team, including flights, accommodation, and visas for domestic and international recruitment trips.
- Coordinate logistics for recruitment events, career fairs, and campus visits in collaboration with internal and external stakeholders.
- Schedule candidate interviews and coordinate with hiring managers and panelists to ensure seamless interview processes.
- Liaise with global recruitment agencies, ensuring timely communication, contract compliance, and follow-ups.
- Assist in onboarding-related administrative tasks as needed.
- Perform system administration tasks, including data entry, updates, and reporting in recruitment or HR-related systems.
- Act as a point of contact between HR, recruitment, and other departments to facilitate smooth communication and task execution.
Knowledge, skills & experience:
- Proven 2-5 years of experience in admin coordination tasks
- Advanced Excel skills proficient in data analysis, reporting, pivot tables, VLOOKUPs, and dashboards.
- Experience with Applicant Tracking Systems (ATS) preferably Oracle or similar enterprise-level platforms.
- Strong organizational and time management skills with the ability to manage multiple tasks and deadlines simultaneously.
- Excellent communication and interpersonal skills, with confidence in dealing with senior stakeholders, vendors, and global teams.
- Proactive and resourceful approach to problem-solving and decision-making.
- High attention to detail, particularly in handling travel arrangements, scheduling, and budgeting.
- Ability to work independently as well as collaboratively in a fast-paced, multicultural environment.
