Job Description

Role Overview

We are looking for a detail-oriented and resourceful Office Assistant to support the Operations Manager, in the daily execution of administrative and operational tasks. The ideal candidate is organized, adaptable, and comfortable using AI tools to streamline work processes, support documentation, and assist with cross-departmental coordination.

Key Responsibilities
  • Assist in managing calendars, scheduling meetings, and preparing necessary materials in advance.
  • Draft emails, reports, and internal communications with the help of AI-powered writing tools (e.g., ChatGPT, Microsoft Copilot, Manus AI, ).
  • Organize and maintain files, documents, and task trackers in both physical and digital formats.
  • Support meeting preparation by gathering agendas, compiling notes, and converting discussions into formal minutes.
  • Coordinate with various departments to collect information and follow up on pending items.
  • Use AI and automation tools to generate summaries, transcribe notes, and enhance daily workflows.
  • Support the Operations Manager with ad-hoc administrative needs, research, and documentation tasks.
  • Ensure confidentiality and professional handling of sensitive information.
Requirements
  • Proven experience in an administrative or office support role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and digital workspace tools (Google Workspace, Trello, etc.).
  • Familiarity with AI tools (e.g., ChatGPT, transcription tools, Manus AI, content generators) and interest in leveraging technology to optimize work.
  • Excellent organizational, written, and verbal communication skills.
  • Discreet, reliable, and able to handle multiple priorities in a fast-paced environment.
  • Fluency in English is essential; Arabic is a plus.
