Lobby Admin Ambassador - Temporary Contract

The first contact for the delivery of the Customer Service experience, ensuring exceptional customer interaction, leaving guests and callers with a positive, professional and lasting impression. The individual(s) will assist the Front of House Team to ensure a consistent and smooth link with the rest of the team.They will also be multi-skilled to meet the wide and varied requirement of the role.
Job Responsibilities:
- Ensure that all visitors are greeted courteously, ensure Security Clearance is checked by the Lobby Ambassadors
- Ensure that identification badges and information on site safety and emergency procedures are issued to all visitor’s
- Ensure that all visitors are registered in VMS
- Provision of Reception services between the hours of 08.30 and 17.30 hrs
- Provide a prompt, efficient and polite response to both visitors and internal customers either face to face, via the telephone and e-mail communication
- Notify hosts of visitors’ arrival and where guests not collected, make follow up calls.
- Actively assist to ensure compliance of the Reception SLA’s
- Assist with admin and FM duties as directed by the Facilities Manager
- Ensure that Reception image is kept up to standard and in line with Cisco Standards document.
- Administer the bookings for meeting rooms
- Manage all conference rooms, boardrooms, meeting rooms
- Prepare daily room booking information for Front of House Team
- Phone relevant staff member at the end of each day to confirm their booking for next day
- To be competent and confident in the use of relevant Microsoft Office applications
- Carry out any adhoc duties as directed by the FC
- Issue the incoming post and distribute. Frank outgoing mail and record post details. Ensure franking machine is in credit and liaise with supplier
- Communicate FM issues to the building users, via e-mail
- Communicate via email and phone to employees and non employees request and query
- To undertake general team administration duties for the Facilities Management operation as directed
- Be fully conversant with the reporting procedures for any non-conformance / incident in relation to H&S and first aid
- Must know where the fire exits and Assembly Points are located and ensure access to and availability of them is kept clear at all times
- Handle Work orders in Corrigo system by raising Work order request on behalf of employees
- Check and monitor all Corrigo work orders in a daily basis
- Responsible to close the assigned WO in a timely manner
- Handle SBM tool for temporary badge issuance to employees
- Assist and help Logistic in receiving small shipment items
- Assist employees for outbound courier (documents only)
- Responsible to check the CWA upon vendors arrival if the vendor works/service is during working hours
- Assist Mobility team to issue a sim card and mobile phone to employees
- Assist employees on Catering request for office training & events
- Assist employees to order Business cards to the respective vendor
Requirements:
- Any degree/diploma or certificate
- Reception / Switchboard Training provided by H/O
