Freelance Role: F&B Specialist
Engagement Type: Freelance / Contract (monthly rolling — est. June 1st week for 1 month and potential extension for 2 additional months)
Location: Abu Dhabi (on-site)
Department: Food & Beverage (F&B)
Reports To: F&B Unit Head

Salary - Up to AED 25,000/month and no other benefits

Role Overview

We are seeking a motivated and organized Freelance F&B Coordinator to provide day-to-day operational and administrative support across the museum's F&B function. Working closely with and under the guidance of the F&B Unit Head, this role will assist in coordinating vendors, supporting events and activations, and maintaining the smooth running of F&B operations.

This is a great opportunity for someone with a foundational background in F&B, hospitality, or events who is looking to develop their skills in a dynamic cultural institution.

Key Responsibilities
Vendor Coordination Support
  • Oversee day-to-day coordination of F&B vendors, including temporary pop-up vendors and permanent operators
  • Monitor vendor adherence to operating hours, service standards, and reporting requirements, escalating issues to the Unit Head
  • Act as a day-to-day point of contact for F&B vendors, resolving routine queries and flagging complex issues
  • Identify and implement continuous improvement opportunities across service delivery, menu and product offerings, and guest flow and operational efficiencies
  • Support coordination with internal teams (Operations, FM, Security, IT, MarComms) to facilitate vendor operations
  • Assist in tracking vendor performance data and compiling inputs for reporting
Event Support & Coordination
  • Facilitate logging and tracking of incoming F&B event inquiries, including catering, in-venue dining, and venue privatization requests
  • Coordinate between the F&B Unit, Events team, and vendors for event delivery
  • Ensure alignment between F&B operations, event delivery partners, and end-clients (menus, staffing, setup, change management)
  • Provide on-site support during events as required
Activations & Programming Support
  • Assist in the operational delivery of F&B activations aligned with the museum's annual programming calendar
  • Help translate activation plans (defined by the Unit Head) into actionable task lists and coordination documents
  • Liaise with Public Programming, Events, and MarComms teams to support timely execution
  • Track setup requirements, vendor participation, and timelines for activations
  1. Pop-Up Programme Coordination

Under the direction of the Unit Head, support the end-to-end coordination of the F&B pop-up

programme:
  • Maintain and update the vendor database (categories, cuisine types, onboarding status)
  • Conduct outreach and support evaluation and selection of potential vendors (in collaboration with the Unit Head)
  • Support onboarding administration, including documentation and compliance requirements
  • Coordinate with FM, Security, and Operations on site readiness and access
  • Help with on-site setup coordination during vendor launches
  • Assist in preparing content briefs and coordination notes for MarComms on new vendor announcements
  1. General & Administrative Support
Provide flexible support across the F&B function as required, including:
  • Maintain accurate records, trackers, and coordination documents across the F&B function
  • Support reporting inputs, dashboards, and process documentation
  • Provide flexible cross-functional support as required
  • Undertake ad hoc tasks to support the success of the F&B department
Candidate Profile
Experience
  • 3–5 years of experience in F&B operations, hospitality, events, or a related field
  • Exposure to vendor coordination, event support, or operational administration is preferred
  • Experience in the UAE or GCC is advantageous but not required
Skills & Competencies
  • Organized and detail-oriented with strong follow-through
  • Strong operational and problem-solving capabilities
  • Good communication and interpersonal skills
  • Comfortable working with multiple stakeholders in a fast-paced environment
  • Proactive with a can-do attitude and willingness to learn
  • Basic commercial awareness (understanding of F&B operations and event logistics)
  • Proficient in Microsoft Office Suite
