Position overview

We are looking for a driven senior AOR/project coordinator with an architect background to help our design coordination, project management, and AOR activities.

• Bachelor's or master's degree in architecture.
• Minimum 10 years of experience.
• Dubai Municipality (DM) G+ Unlimited Certificate highly preferred.
• Sound knowledge and experience in design development and dealing with local authorities.
• Awareness of authority procedures and guidelines.

• Start to win and develop new clients with annual targets to be agreed.
• Be an ambassador for company and brand at all times and build business with existing clients.
• Establish and maintain effective working relationships with key clients and partners, potential key targets, and ensure the delivery of a responsive and professional service.
• Ability to represent 9E at new project interviews.
• Prepare draft fee proposals and review with the director for final approval and arrange for submission to the client.
• Develop business with existing clients and ensure regular feedback is received.
• Review all key projects within own area of responsibility and proactively engage with clients and partner groups to gather feedback and deliver service improvement initiatives.

• Take lead in technical matters of assigned project(s) or team up with other senior architects for design development.
• Provide design solutions and ensure compliance with local authority regulations and codes.
• Design development, detailed design, and technical coordination between all disciplines.
• Review the design from authority perspective and against SBC code and MOMRA guidelines.
• Lead or assist other lead architects in design development (concept and detailed design).
• Review and prepare authority submissions and follow up to obtain timely approvals.
• Keep updating the team about all local authorities regulations and maintain record keeping of the same.
• Attend technical discussions at municipality, deal with authorities, design review, and ensure compliance with all relevant codes and authorities.
• Assist project manager to achieve accuracy while planning and scheduling in accordance with resource planning and project deadlines.
• Deal with suppliers and contractors in accordance with project planning and project managers.
• Detail design and supervision of the assigned draughtsmen and make necessary reviews, corrections, and guidelines with respect to agreed benchmark.
• Travel to site(s) to complete physical inspections and site surveys.
• Specification writing with up-to-date knowledge of materials and their applications.
• Collaborate with other team members to determine design needs and requirements for the project.
• Evaluate project scope of works and assist in the preparation of proposals.
• Arrange meetings to review proposals and plans, making modifications or revisions as required.
• Prepare and maintain project documents like correspondence, minutes of meeting, notes, etc.
• Allocate, distribute, and follow up on tasks within the team, checking the work produced.
• Work closely with relevant external parties and clients to ensure timely delivery according to plan.
• Assist HR in technical interviews during recruitment of staff in the architectural department.
• Keep learning new skills such as Revit Architecture, updated information, and take necessary trainings as per modern practices in the relevant field and share with team and other disciplines organization-wide.
• Coordinate with department heads and obtain manning levels.
• Review and comment on the consultancy agreement for the full scope of services. Ensure projects conform to contract.
• Create project execution plans for all projects to track progress.
• Utilize industry best practices, techniques, and standards throughout entire project execution.
• Ensure QA/QC procedures are properly implemented and maintained by project members.
• Manage client interface issues and establish a change management process to manage variations to scope of services.
• Manage the appointment or coordinate with external consultants or sub-consultants for the flawless execution of projects.
• Be involved in developing the design management plan for each design stage and management of all phases of design throughout project scope (including set-up, design, and close out).
• Review design deliverables to ensure that they are complete and meet the standards required for each stage or agreement.
• Be the main point of reference with day-to-day communications with clients and sub-consultants on your respective projects.
• Prepare, review, and update risk register to identify and mitigate major risks to the project.
• Negotiate and agree with the client on terms of letter of award or consultancy agreement.
• Create and communicate clear and attainable project objectives and project requirements.
• Report any potential problems or risks to the project director as needed in order to mitigate any issues in the future.
• Perform risk management to minimize project risks.
• Manage contract fees against in-house disciplines and sub-consultants.
• Manage teamwork plans and communication protocols for respective projects.
• Update risk register and escalate any risks to formal correspondence.
• Monitor and control project fees and invoicing.
• Liaise with project managers and relevant departments to ensure smooth project execution.
