Personal Assistant to the CEO

Job Description

As a Personal Assistant to the CEO, you will be responsible for providing administrative support to the CEO to enable them to operate effectively and efficiently. You will work closely with the CEO and other key stakeholders to manage their schedule, communications, and day-to-day activities while exercising discretion and maintaining confidentiality while representing the CEO.

Responsibilities:

  • Manage the CEO's calendar, scheduling appointments and meetings, and keeping track of deadlines and important events.
  • Arrange travel and accommodation for the CEO, as needed.
  • Coordinate and prepare for meetings, including arranging meeting rooms, preparing agendas, taking notes, and distributing meeting materials.
  • Act as the first point of contact for the CEO, screening and directing calls and emails.
  • Manage the CEO's email inbox, drafting and responding to emails on their behalf.
  • Conduct research and prepare reports for the CEO, as required.
  • Assist the CEO with personal tasks, such as making reservations or managing personal appointments.
  • Handle confidential information and maintain strict confidentiality at all times.
  • Organize events, which may include planning and executing company events, conferences, and other gatherings.
  • Liaise with other members of the executive team and external stakeholders on behalf of the CEO.
  • Undertake any other duties as required to ensure the smooth running of the CEO's office.

Requirements:

  • Proven experience as a personal assistant, executive assistant, or similar role supporting senior executives.
  • Excellent organizational and time management skills, with the ability to prioritize and multitask.
  • Strong verbal and written communication skills, including the ability to draft professional emails and reports.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • High level of proficiency with Microsoft Office suite and other relevant software.
  • Professional demeanor, with excellent interpersonal skills and a positive attitude.
  • Ability to work independently and as part of a team.
  • Bachelor's degree.
  • Native English speaker, additional languages is a plus.

The Personal Assistant to the CEO will be expected to work regular office hours, although some flexibility may be required to accommodate the CEO's schedule.
