Job Description

Job Purpose:

Coordination of Bid processes and day to day submittals of tenders, presentations and PQQ's within the Interiors Division.

Essential roles and responsibilities:

  • Bid content management
  • Ensure consistency and accuracy from a single source.
  • Take advantage of emerging technologies to elevate proposals and presentations
  • Allocate bids on Pipedrive live and PTC at the start of the week.
  • Training bid team members on use of In design and ATS tender guide submission checklist.
  • Cross reference RFP against bid tracker to determine requirements and strategies on deliverables.
  • Issuance of Bid submissions (averaging 15 per month) inclusive of Tenders and prequalification's ranging from AED 1M - 300M in value.
  • Provides guidance to the team in preparing the technical components of the proposal by reviewing initial section outlines to ensure that all RFP requirements are incorporated.
  • Secondary point of contact to bid members for questions related to RFP requirements.
  • Attend kick off/mid-bid meetings on behalf of Bid Manager, brief team; confirm proposed
  • SPM/PM and initiate submission preparation process.
  • Research emerging technologies and continuously develop proposals and presentations, thereby maintaining a competitive advantage.
  • Work closely with Bid Manager to develop rebranded templates etc. and implement across the
  • Bid team and beyond via initial workshop as well as refresher workshops to be managed and implemented by Senior Bid coordinator.
  • Develop presentations for pitches by Senior Management when required.
  • Managing maintenance of content library via SharePoint.
  • Conduct initial review of priority 2 & 3 and schedule final review with Bid Manager prior to submission
  • Client research to gain knowledge prior to compiling the tender in order to have a greater
  • understanding of client needs and values.
  • Assist the Bid and Marketing Manager with key events within the organization to ensure
  • smoothly running and a successful execution.
  • Training and development of employees within the Bid Team, training them on use of InDesign
  • in order to ensure preparation for business growth in terms of volumes of tenders/presentations.
  • Run monthly workshops with bid team, geared at creating professional rfp responses.

Skills and Experience:

  • 10 - 15 years experience in the construction / fit out industry
  • Diploma in Business Management
  • Knowledge of Project Management and Construction methodology
  • Ability to priorities and multitask
  • InDesign, Microsoft office, PowerPoint, MS project and Pipedrive, Adobe
