Job Purpose

The Executive Assistant (EA) will provide comprehensive administrative and operational support to the Executive Director and the senior leadership team. This role is pivotal in ensuring seamless coordination of executive functions and facilitating effective communication across internal and external stakeholders.

The EA will manage complex schedules, oversee high-level communications, and maintain utmost confidentiality in all matters, contributing to the overall efficiency and productivity of the executive office.

Key Responsibilities

Executive Support
  • Manage and coordinate complex calendars, including scheduling meetings, appointments, and travel arrangements for the Executive Director and leadership team.
  • Act as a point of contact between the executive office and internal/external stakeholders, maintaining a high level of professionalism.
  • Draft, review, and respond to high-volume communications including emails, correspondence, and phone inquiries on behalf of the executives.
Meeting & Event Coordination
  • Organize and execute leadership meetings, board meetings, strategic offsites, and other corporate events.
  • Prepare meeting agendas, record accurate minutes, and ensure timely follow-up on action items.
  • Manage all event logistics, including vendor coordination, travel, accommodation, and venue arrangements.
Administrative Operations
  • Prepare and process expense reports and reimbursements for the Executive Director and senior leaders.
  • Maintain organized filing systems and databases for confidential documents, meeting records, and official communications.
  • Prioritize and manage incoming requests to ensure timely and appropriate response and resolution.
Confidentiality & Professionalism
  • Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
  • Represent the executive office with integrity and professionalism in all interactions, both internal and external.

Requirements:

Qualifications & Experience
  • Education: Bachelor's degree or equivalent qualification required.
  • Experience: Minimum of 5 years’ experience in executive-level administrative support, preferably supporting C-suite executives or senior leadership.
Key Competencies and Skills
  • Exceptional organizational and time management skills with strong attention to detail.
  • Outstanding written and verbal communication abilities.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Ability to work independently, exercise sound judgement, and manage multiple priorities in a dynamic environment.
  • High level of discretion, integrity, and professionalism.
  • Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
