The Role

This is an exciting opportunity for an experienced Site Subcontract Administrator - Civil + TCF with a proven track record in managing subcontractor relationships and overseeing procurement activities for civil works and temporary construction facilities.
The ideal candidate will play a critical role in ensuring cost-effective, timely, and quality execution of subcontract packages, contributing directly to the success of high-profile oil & gas projects. This role demands strong coordination with engineering, procurement, and construction teams, as well as the ability to navigate complex contractual frameworks and site logistics.

Candidates with deep knowledge of FIDIC contracts, vendor management, and site-based operations will thrive in this dynamic and impactful position.

The key objectives for this role are:

  • Contract Development & Finalization: Responsible for the preparation, negotiation, and execution of subcontract agreements for civil works and temporary construction facilities (TCF), including large-scale construction packages. This may also include managing financial instruments such as performance bonds, letters of credit, and warranties to safeguard project and client interests.
  • Project Support & Contractual Guidance: Provide ongoing support and contractual advice to the site project team throughout the subcontract lifecycle—from tendering and negotiation to award and post-award administration. Ensure that all subcontract activities align with project goals, timelines, and compliance standards.
  • Client Contract Alignment: Maintain a clear understanding of the client's head contract obligations and ensure these are accurately reflected in subcontract strategies, procedures, and terms. Collaborate with commercial and technical teams to integrate client requirements into robust subcontract frameworks.
  • Reporting & Risk Escalation: Deliver timely and concise reports on subcontract progress, performance metrics, and contractual risks. Ensure systems and trackers are regularly updated with accurate data. Escalate critical issues, delays, or deviations to project and commercial management for resolution.
RESPONSIBILITIES

  • Champion and promote the application of the Framework for Managing the Fundamentals (FMF)
  • Champion and follow the relevant DOA and Group & BU policies
  • Conduct reviews of supplier and subcontractor T&C's qualifications, including any financial securities and guarantees.
  • Perform evaluation of tenderers contractual qualifications, taking into account the risk profile associated with the scope of supply/services and the requirements of the prime contract
  • Provide recommendations internally on which qualifications are acceptable by way of risk allocation and also in relation to Wood's prime contract obligations
  • Agree final terms and conditions of subcontracts and purchase orders with the appropriate competent authority (e.g. Project Management, Legal, Commercial and Supply Chain) and with Client where required
  • Ensure all relevant subcontracts activities are carried out in accordance with the project execution plan/schedule and/or contracting strategy and in line with project processes and procedures
  • Delivers work in accordance with appropriate and current corporate and Project Specific Procedures
  • Provides leadership and management to the subcontracts teams and is an active participant in Commercial, Supply chain and project management activities
  • When required, prepare final contract documents and arrange execution of same in line with DOA and authorized signatories.
  • Provide support in relation to subcontract and purchase order administration activities
  • Provide subcontract / purchase order interpretation advice when required
  • Provide support to any subcontractor supplier claims against Wood
  • Support the project team in its use of all resources and remedies under a subcontract in order to ensure that subcontractors meet their contractual obligations.

  • Understand and work to the Wood Financial Management Framework as it relates to Subcontracts
  • Assist in identifying and applying performance management and development plans for direct reports

Qualifications:

  • Bachelor's degree in Law, Quantity Surveying, or Business Administration
  • Legal qualification is preferred but not mandatory
  • Working knowledge of UAE law is advantageous, especially in relation to construction and subcontracting practices

Knowledge, skills and experience:

  • Contractual Expertise: Proven experience in reviewing, drafting, and negotiating NDAs, subcontract agreements, and purchase order terms & conditions within a service company or EPC environment
  • Industry Insight: Practical exposure to oil & gas, engineering, and construction projects, ideally with Middle East experience Prior engagement with UAE National Oil Companies (e.g., ADNOC) is highly desirable
  • Commercial Acumen: Ability to identify and mitigate liability gaps between prime contracts and downstream subcontracts or POs Strong understanding of contracting principles, risk allocation, and commercial strategy
  • Systems & Procedures: Familiarity with company finance and HR systems, and awareness of relevant corporate and project procedures Experience using contract management platforms and ERP tools
  • Client & Stakeholder Management: Excellent understanding of client contract structures, policies, and flow-down requirements Skilled in cross-functional collaboration with legal, procurement, and project teams
  • Leadership & Team Management: Experience in leading and mentoring teams (if applicable to the role) Ability to manage workload across multiple subcontract packages and deadlines
