Whitewill is a premier real estate company specializing in luxury apartments and properties in the most prestigious locations across Dubai, Abu Dhabi, Ras Al Khaimah, Muscat, London, Moscow, and Miami.
Whitewill Real Estate is seeking a highly organized and detail-oriented professional to join our Abu Dhabi office in the role of Stock & Administrative Coordinator. This position involves working closely with property owners, internal brokers, and external partners to manage listing data, coordinate sales & leasing activities, and support documentation processes.
Key Responsibilities:
- Receive and process property listing requests from owners looking to sell their real estate
- Collect all necessary information and documentation related to the property
- Conduct initial screening of listings to verify accuracy and ensure they meet basic company criteria
- Maintain communication with property owners to confirm interest, request missing materials, and provide basic support
- Enter and update property details in CRM and internal databases, assigning appropriate statuses
- Ensure data accuracy and timely updates to the property inventory
- Coordinate with internal brokers on new listings and property statuses
- Respond to broker requests by searching and providing relevant listings from the internal database
- Handle incoming leads, collect initial client requirements, and assign them to brokers
- Maintain availability for lead-related communication between 9:00 AM and 9:00 PM
- Upload property listings from landlords to internal systems and assist with coordination for publication on external platforms (e.g., Property Finder)
- Prepare draft documentation for leasing transactions (offer letters, tenancy contracts, etc.)
- Organize and schedule viewings with property management companies upon broker request
- Coordinate with property management companies for tenant registration
- Maintain and archive all leasing-related documentation
- Manage internal Google Drive folders, ensuring proper storage of documents, photos, and other materials
- Edit property photos according to platform standards before listing
- Register signed MOUs and ensure compliance with documentation procedures
- Monitor broker shift schedules and confirm attendance
Requirements:
- Prior experience in the real estate industry in Abu Dhabi is required
- Full-time availability and commitment to in-office work
- Working hours: 10:00 AM to 7:00 PM, five days a week
- Proficiency in English is required; knowledge of Arabic is an advantage
- Confident user of Microsoft Office and CRM systems
