Job Description
About This Job: We are currently recruiting for the position of Office Manager on behalf of a dynamic and fast-growing creative music institute in Dubai. The successful candidate will play a critical role in supporting the executive leadership team and ensuring the smooth daily operation of the office.This is a highly visible and hands-on role, ideal for a proactive and highly organized individual with strong communication and multitasking skills.
Key Responsibilities:
- Office Management & Executive Support
- Oversee and coordinate daily office operations to ensure efficiency and professionalism
- Provide direct administrative support to the CEO, CMO, CPO, and CSXO
- Manage complex calendars, schedule meetings, and coordinate appointments for executives
- Organize internal meetings, events, and negotiations, including preparation of agendas, minutes, and supporting documents
- Arrange travel, logistics, and event coordination as needed
- Ensure compliance with internal processes and directives from leadership
- Documentation & Reporting
- Maintain accurate document filing and management systems
- Draft, review, and distribute reports, presentations, and analytical materials as needed
- Handle document registration, version tracking, and archiving
- External Communication & Vendor Coordination
- Liaise with landlords, service providers, suppliers, and external vendors
- Manage procurement of office supplies and consumables
- Handle correspondence across multiple channels (email, phone, WhatsApp, messengers, and social media)
- Route incoming inquiries to relevant departments, excluding admissions
- Operations & Logistics
- Oversee mail, courier deliveries, and general office logistics
- Coordinate routine and ad-hoc banking payments
- Monitor and support smooth facility operations
- Government & Property Relations
- Communicate with government and regulatory entities as assigned
- Operate within platforms such as Dubai Knowledge Park, KHDA, DQuarters, and others related to property and licensing
Qualifications & Experience:
- 5+ years of experience in office or executive administration
- Proficiency in English (spoken and written)
- Strong command of Google Workspace, Microsoft Office, Apple iWork, Notion, Miro, Slack, and ChatGPT
- Experience interacting with government and landlord platforms, courier services, and B2B platforms
- Exceptional organizational, time-management, and communication skills
- Ability to work independently in a fast-paced, creative environment
