Job Description

About This Job: We are currently recruiting for the position of Office Manager on behalf of a dynamic and fast-growing creative music institute in Dubai. The successful candidate will play a critical role in supporting the executive leadership team and ensuring the smooth daily operation of the office.

This is a highly visible and hands-on role, ideal for a proactive and highly organized individual with strong communication and multitasking skills.

Key Responsibilities:

  • Office Management & Executive Support
  • Oversee and coordinate daily office operations to ensure efficiency and professionalism
  • Provide direct administrative support to the CEO, CMO, CPO, and CSXO
  • Manage complex calendars, schedule meetings, and coordinate appointments for executives
  • Organize internal meetings, events, and negotiations, including preparation of agendas, minutes, and supporting documents
  • Arrange travel, logistics, and event coordination as needed
  • Ensure compliance with internal processes and directives from leadership
  • Documentation & Reporting
  • Maintain accurate document filing and management systems
  • Draft, review, and distribute reports, presentations, and analytical materials as needed
  • Handle document registration, version tracking, and archiving
  • External Communication & Vendor Coordination
  • Liaise with landlords, service providers, suppliers, and external vendors
  • Manage procurement of office supplies and consumables
  • Handle correspondence across multiple channels (email, phone, WhatsApp, messengers, and social media)
  • Route incoming inquiries to relevant departments, excluding admissions
  • Operations & Logistics
  • Oversee mail, courier deliveries, and general office logistics
  • Coordinate routine and ad-hoc banking payments
  • Monitor and support smooth facility operations
  • Government & Property Relations
  • Communicate with government and regulatory entities as assigned
  • Operate within platforms such as Dubai Knowledge Park, KHDA, DQuarters, and others related to property and licensing

Qualifications & Experience:

  • 5+ years of experience in office or executive administration
  • Proficiency in English (spoken and written)
  • Strong command of Google Workspace, Microsoft Office, Apple iWork, Notion, Miro, Slack, and ChatGPT
  • Experience interacting with government and landlord platforms, courier services, and B2B platforms
  • Exceptional organizational, time-management, and communication skills
  • Ability to work independently in a fast-paced, creative environment
