Overview
A UAE-based financial institution is seeking an experienced Senior Executive Assistant & Office Manager to provide dedicated support to the Chief Executive Officer.
This is a highly dynamic role requiring an individual who thrives in a fast-paced environment, operates with exceptional discretion, and can seamlessly manage competing priorities. The successful candidate will act as a trusted extension of the CEO, ensuring the efficient management of their schedule, communications, stakeholder interactions, and day-to-day office operations.
This position is best suited to someone who is proactive, highly organised, polished, and accustomed to supporting senior executives within banking, financial services, investment management, government entities, or similarly demanding environments.
Key Responsibilities
Executive Support- Manage the CEO's complex and ever-changing calendar, meetings, and priorities.
- Coordinate board meetings, executive committee meetings, and key stakeholder engagements.
- Arrange domestic and international travel, including detailed itineraries and logistics.
- Prepare meeting packs, presentations, reports, and briefing materials.
- Draft correspondence and manage highly confidential communications.
- Track actions and ensure follow-up across internal and external stakeholders.
- Act as a trusted gatekeeper, helping prioritise requests and maximise the CEO's effectiveness.
- Serve as a key point of contact for board members, regulators, shareholders, senior executives, clients, and external partners.
- Welcome and coordinate visitors to the CEO's office, ensuring a professional and seamless experience.
- Build strong relationships across the organisation and maintain effective communication channels.
- Coordinate executive meetings, lunches, events, and special engagements.
- Oversee the day-to-day management of the CEO's office.
- Ensure meeting rooms and executive facilities are maintained to a high standard.
- Coordinate office suppliers, vendors, and administrative services.
- Support internal events, leadership meetings, and special projects as required.
- Maintain organised records and documentation with the highest level of confidentiality.
- 8+ years experience supporting C-level executives
- Previous experience within banking, financial services, investment management, government entities, or professional services is highly desirable.
- Exceptional diary, travel, and stakeholder management skills.
- Strong office management and operational coordination experience.
- Excellent verbal and written communication skills.
- Fluent English is essential; Arabic language skills are strongly preferred.
- Highly organised with exceptional attention to detail.
