Job Description

JOB PURPOSE

The Project & Procurement Coordinator is responsible for managing the end-to-end procurement and project coordination process for fitness equipment, sports flooring, sports courts, and related projects. The role ensures efficient sourcing, vendor management, logistics coordination, order processing, and project execution support to achieve timely and cost-effective project delivery.

KEY RESPONSIBILITIES:

Procurement & Vendor Management:

  • Manage the full procurement cycle, including sourcing, RFQs, supplier evaluation, quotation analysis, purchase order issuance, and delivery follow-up.
  • Coordinate with suppliers and subcontractors to obtain competitive quotations and negotiate pricing, payment terms, and delivery schedules.
  • Develop and maintain strong relationships with vendors to ensure quality, reliability, and cost efficiency.
  • Track procurement activities and ensure timely availability of materials and services required for projects.
  • Monitor supplier performance and resolve procurement-related issues.

Project Coordination:

  • Process and manage job orders accurately and efficiently.
  • Coordinate with internal departments, suppliers, subcontractors, and clients to ensure smooth project execution.
  • Assist in planning project activities and monitoring progress against project schedules.
  • Support project managers in achieving project milestones, timelines, and operational objectives.
  • Maintain project documentation, records, approvals, and reports.

Logistics & Supply Chain Coordination:

  • Coordinate shipping, transportation, customs clearance, and delivery activities.
  • Monitor material movement and ensure timely delivery to project sites.
  • Liaise with logistics providers, freight forwarders, and suppliers to resolve delivery-related issues.
  • Track shipments and maintain logistics records and reports.

Systems & Reporting:

  • Maintain procurement and project records within Oracle ERP or other company systems.
  • Generate procurement, inventory, and project status reports.
  • Ensure compliance with company procurement policies and procedures.

QUALIFICATIONS & EXPERIENCE:

  • Bachelor's Degree or Diploma in Engineering, Construction Management, Supply Chain, Procurement, Business Administration, or a related field.
  • Minimum 3–5 years of experience in procurement coordination, project coordination, or supply chain operations.
  • Experience in sports flooring, fitness equipment, construction, landscaping, sports infrastructure, or related industries is highly preferred.
  • Proven experience managing end-to-end procurement activities.
  • Working knowledge of supplier sourcing, vendor management, purchasing, and contract coordination.
  • Experience coordinating logistics, shipping, and supply chain activities.
  • Hands-on experience using Oracle ERP or similar ERP systems.
  • Strong proficiency in Microsoft Office applications, particularly Excel.
