Job Summary

We are seeking a highly organized and proactive Office Manager with a background in Architecture or Engineering to oversee daily office operations and support project coordination. The ideal candidate will bridge administrative management with technical understanding of architectural workflows, authority submissions, and project documentation in the UAE.

Key Responsibilities

Office & Administrative Management
  • Manage daily office operations, ensuring efficiency and professionalism
  • Supervise administrative staff and coordinate internal workflows
  • Maintain office systems, filing, and document control (digital & physical)
  • Handle correspondence, scheduling, and meeting coordination
Project Coordination
  • Support architects and engineers in project documentation and submissions
  • Track project timelines, deliverables, and approvals
  • Coordinate with clients, contractors, and authorities
Authority Submissions & Compliance
  • Manage submissions through platforms such as Sharjah Municipality and other relevant authorities
  • Ensure compliance with UAE building regulations and permit requirements
  • Follow up on approvals, comments, and revisions
Financial & Procurement Support
  • Assist in invoicing, tracking payments, and basic accounting coordination
  • Manage office expenses, procurement, and vendor coordination
HR & Office Support
  • Support recruitment, onboarding, and employee records
  • Monitor staff attendance, leave, and performance coordination
Required Qualifications
  • Bachelor’s degree in Architecture, Civil Engineering, or related field
  • Minimum 3–5 years experience in an architecture/engineering consultancy in the UAE
  • Strong understanding of UAE authority procedures and submission processes
