Job Description
Job Summary:
Lead and manage the Ministry's administrative support, logistics, protocol, and general services functions to ensure the seamless delivery of operational services across all organizational units. The role is responsible for overseeing hospitality, transportation, security, housekeeping, travel, protocol, and event management services, including the planning and execution of VIP and VVIP visits, official events, conferences, exhibitions, and Ministry ceremonies.The position ensures the efficient delivery of support services, compliance with service standards and contractual obligations, and drives continuous improvement to enhance operational excellence and stakeholder satisfaction.
Key Responsibilities- :Lead the planning, management, and continuous improvement of administrative support and logistics services across the Ministry to ensure efficient and uninterrupted business operations
- .Oversee the delivery of hospitality services, including hotel accommodation, travel arrangements, flight ticket bookings, venue reservations, catering, and protocol services for Ministry employees, official delegations, VIPs, and VVIPs
- .Plan, coordinate, and manage all logistical and protocol arrangements for VIP and VVIP visits, official delegations, and distinguished guests, ensuring compliance with government protocols and coordination with relevant internal and external stakeholders
- .Organize and oversee the end-to-end planning and execution of Ministry conferences, exhibitions, workshops, official ceremonies, national events, and corporate functions, ensuring seamless logistical support and stakeholder coordination
- .Develop and implement event management plans, including venue logistics, transportation, security, hospitality, accommodation, protocol requirements, and contingency planning to ensure the successful delivery of high-profile events
- .Manage security, guarding, and access control services across all Ministry buildings and official events, ensuring compliance with security regulations and effective coordination with competent government authorities
- .Oversee housekeeping, cleaning, and workplace support services across all Ministry facilities, ensuring compliance with health, safety, hygiene, and quality standards
- .Supervise outsourced service providers responsible for logistics, hospitality, transportation, security, housekeeping, courier, and other support services, ensuring contractual compliance, service quality, and achievement of agreed service levels
- .Lead the planning, management, and continuous improvement of the Ministry's transportation services and vehicle fleet, including procurement, contracting, utilization, maintenance, and operational efficiency
- .Oversee courier, mail, and express delivery services across the Ministry, ensuring the secure, timely, and efficient distribution of official documents and materials
- .Develop operational plans, budgets, service level agreements (SLAs), and key performance indicators (KPIs) for services and logistics functions, and monitor performance to drive operational excellence and continuous improvement
- .Establish and implement innovative solutions and best practices to enhance service quality, customer satisfaction, operational efficiency, and cost optimization across all support service functions
- .Ensure compliance with applicable UAE regulations, Ministry policies, health and safety requirements, and governance standards related to administrative, logistics, and support services
Qualificatio
n:Educati- onBachelor's degree in Business Administration, Logistics, Supply Chain Management, Public Administration, Operations Management, Hospitality Management, or a related disciplin
- e:Minimum 10 years of relevant experience in administrative services, logistics, operations, protocol, hospitality, or event managemen
- t.Minimum 5 years in a managerial or leadership role overseeing administrative services, logistics, transportation, protocol, hospitality, security, or general support service
- s.Proven experience in planning and managing VIP and VVIP visits, official delegations, protocol services, and high-profile government or corporate event
- s.Demonstrated experience organizing and delivering conferences, exhibitions, workshops, official ceremonies, and large-scale events from planning through executio
- n.Strong experience managing hospitality services, including hotel accommodation, travel arrangements, flight ticket bookings, venue management, catering, and protocol coordinatio
- n.Proven experience overseeing transportation services, vehicle fleet operations, security, housekeeping, workplace services, and courier operation
