Project Coordinator – Real Estate Development

About the Role
We are seeking a proactive, highly organized, and process-driven Project Coordinator to support the successful delivery of our real estate development projects. This is not a construction or engineering roleit is a central coordination function that ensures architects, interior designers, consultants, government entities, and internal departments are all aligned and moving in sync.
You will act as the connective tissue across all disciplines, ensuring clarity, accountability, and progress at every step of the project. Your primary role will be to coordinate workflows, track milestones, organize documentation, and follow up with precision so that timelines are met, delays are prevented, and no detail is overlooked.
Key Responsibilities- Coordinate across internal teams (design, interiors, procurement, marketing, sales, finance) and external stakeholders (architects, interior designers, consultants, authorities).
- Follow up and track government approvals with DLD, Dubai Municipality, Trakhees, Nakheel, DSO, and other authoritiesliaising with PROs and consultants where needed.
- Maintain and update project trackers, delivery schedules, and critical path items across multiple projects in parallel.
- Prepare and distribute meeting agendas, minutes of meetings (MoMs), and structured follow-ups from design review meetings, authority submissions, and internal briefings.
- Coordinate documentation, version control, and submission logs for project drawings, renders, authority documents, and material approvals.
- Track dependencies between teams to flag issues in timelines, design coordination, or pending inputs early.
- Assist with tendering documentation, consultant appointment memos, and authority submission packages as needed.
- Provide regular updates to senior management, summarizing project status, pending risks, and upcoming decisions required.
- A highly organized and structured approach to managing moving parts.

- Strong English communication skills, both spoken and written (you will draft letters, MoMs, and status updates).
- A good eye for documentation qualityyou know when something is missing or ambiguous.
- An understanding of how real estate development flows from concept to handovereven if you haven&apost run it yourself.
- Tech fluency: You must be comfortable working with Excel, Google Sheets, Trello, Asana, or similar tools.
- Ability to manage multiple active projects and maintain calm, consistent coordination even under pressure.
- Minimum 3 years of coordination experience in real estate, architecture, engineering consultancy, or interior design.
- Prior exposure to UAE authorities (DLD, DM, Nakheel, Trakhees, DSO, etc.) is highly preferred.
- Degree in Architecture, Engineering, Urban Planning, Project Management, or Business preferred.
- UAE driving license and short notice availability are a plus but not mandatory.
