Job Description:
We are currently seeking a highly motivated and organized Assistant to Project Manager to join our BEEAH Abu Dhabi team. This role is responsible for assisting the Project Manager in terms of office management & documentation, archiving of data, following up with Stakeholders and providing substantiated information, managing meeting schedules and reviewing reports.This role involves both administrative and operational responsibilities, ensuring service efficiency, client satisfaction, and regulatory compliance.
Key Responsibilities:
- Assist the Project Manager with day-to-day operations and administrative tasks.
- Support and maintain positive client relations
- Monitor service delivery and report issues or delays.
- Help prepare work methods to improve operational efficiency.
- Coordinate across departments to ensure smooth project execution.
- Prepare and manage reports, meeting schedules, minutes, and official correspondence.
- Maintain proper documentation, archiving, and record-keeping.
- Assist with invoice preparation and submission.
- Ensure compliance with Health, Safety, and Environmental (HSE) standards.
- Report incidents, near-misses, and ensure use of PPE and safe practices.
Qualifications and Experience:
- Bachelor's degree in engineering
- 2 4 Years of work experience in operations
- Environment / Waste Management Industry experience will be an added advantage
- Must be a UAE National
- Must be bilingual English & Arabic
Skills:
- Project Coordination & Office Management Skilled in supporting project execution and administrative operations, ensuring smooth office workflow and compliance with policies.
- Business Communication & Correspondence Proficient in drafting letters, emails, and business proposals in both English and Arabic, with excellent verbal and written communication skills.
- Reporting & Presentation Experienced in preparing daily, weekly, and monthly reports, meeting minutes, and professional presentations for stakeholders and clients.
- Negotiation & Client Relations Strong interpersonal and negotiation skills with the ability to maintain and enhance client relationships and resolve issues effectively.
- Technical Proficiency Advanced user of MS Office Suite (Word, Excel, PowerPoint) and knowledgeable in office management tools and applications.
- Project Management Practices (PMP) Understanding of project management methodologies and support functions, with a focus on operational efficiency and timely task execution.
