Job Description
Alexander Ash are currently seeking an Infrastructure Operations Manager. This is an extendable contract role with one of our clients in Abu Dhabi.
Key Responsibilities & Tasks
Contract Management- Track the start and end dates of annual service contracts across various locations.
- Coordinate timely contract renewals, initiate tender processes, and manage award notifications.
- Maintain a centralized database for all active and expired contracts with performance notes.
- Oversee the day-to-day maintenance and operation of facilities across various sites.
- Conduct regular site visits to monitor contractor performance, verify completed works, and address operational issues.
- Ensure adherence to safety, compliance, and authority regulations during all site activities.
- Follow up on NCRs related to infrastructure issues (e.g., water leakage in LV rooms) to ensure corrective actions are taken.
- Liaise with QA/QC teams, contractors, and consultants to close NCRs with proper documentation.
- Maintain a log of all NCRs issued, including status updates and resolution timelines.
- Review monthly, quarterly, and annual O&M reports from contractors.
- Ensure reports include clear observations, corrective actions, and photographic evidence.
- Emphasize the importance of final-page summaries and comprehensive assessments in all reports.
- Source and evaluate quotations from multiple vendors for various works.
- Coordinate scope clarification and technical requirements with vendors.
- Prepare detailed punch lists for electrical and mechanical equipments, ensuring issues are clearly identified per location.
- Categorize photos and documents by room/facility to support effective follow-up and closure.
- Collaborate with site engineers and contractors to expedite punch list clearance.
- Analyse and validate proposed costs, including labor charges and VAT.
- Benchmark vendor pricing against market standards in Abu Dhabi/UAE to ensure fairness.
- Track budget utilization and highlight deviations or overutilization.
- Prepare and compile required documentation for permit applications, including coordination with relevant parties.
- Communicate with regulatory authorities to ensure all documentation meets required standards and protocols.
- Follow up regularly with concerned authorities to secure timely approvals and avoid project delays.
- Manage changes in technical scope (e.g., switching from substation fence to transformer for safety purpose).
- Confirm actual utilization of approved scope and maintain records of unused balances.
- Communicate clearly with consultants and clients to document scope variances.
- Monitor PM schedules for critical equipment such as booster pumps, HVAC coils, compressors, and fire alarm systems.
- Ensure contractor adherence to preventive schedules and rectify delays.
- Document any warranty-related work and coordinate replacement activities.
- Serve as a point of contact between internal teams, contractors, and consultants.
- Assist in resolving conflicts, clarifying requirements, and ensuring work continuity.
- Maintain organized digital and physical records of quotations, reports, permits, and site photos.
- Use structured folder systems to separate documentation by site and work type.
- Monitor vendor performance against KPIs and contract deliverables.
- Provide feedback to management committees on contractor reliability and quality.
- Recommend whether to renew, replace, or rebid vendor contracts based on performance.
