Job Summary:
As the first point of contact at Everwell Polyclinic, the Front Office Ambassador plays a pivotal role in delivering a welcoming, compassionate, and professional experience to patients, visitors, and partners. This individual ensures smooth front desk operations, supports administrative and clinical coordination, and upholds Everwells commitment to patient-centred care.
Key Responsibilities:
- Greet and receive patients, families, and visitors in a warm and respectful manner.
- Manage incoming calls, emails, and walk-ins regarding appointments, services, and general inquiries.
- Schedule, confirm, and follow up on patient appointments across various specialties.
- Ensure the reception area is presentable, hygienic, and stocked with updated clinic materials and forms.
- Coordinate with clinical teams to ensure smooth patient flow, appointment readiness, and follow-up support.
- Assist with registration, insurance verification, and collection of relevant documentation and consents.
- Handle administrative tasks such as courier dispatch, document scanning, mail handling, and inventory tracking.
- Support basic data entry into clinic management systems (e.g., patient profiles, appointment logs).
- Liaise with departments including Nursing, Administration, and Marketing for patient experience enhancements.
Qualifications:
- High school diploma or equivalent; a diploma in Healthcare Administration, Business, or Hospitality is preferred.
- Minimum 3 years of experience in a front desk or client-facing roleexperience in a healthcare or clinical setting is highly preferred.
- Strong understanding of patient confidentiality, insurance processes, and clinical terminology is an advantage.
- Excellent communication and interpersonal skills with a calm and empathetic demeanor.
- Presentable, well-groomed, and composed in a fast-paced healthcare environment.
- Fluent in English; Arabic or additional languages are a plus.
