Your Professional Opportunity

For our Abu Dhabi office, we are seeking a highly organized and proactive Executive Assistant to work directly with the General Manager (GM).

The successful candidate will play a key role in supporting the GM in daily activities and will act as a central point of contact across all company business unitsEngineering, Project Management, Procurement, Administrationcoordinating with our offices in Italy, UAE, and KSA.

This role requires strong interpersonal and organizational skills, the ability to manage multiple priorities, and a high level of professionalism and discretion.

Key Responsibilities:

  • Provide direct support to the General Manager in all day-to-day business activities.
  • Act as liaison between the GM and internal departments across different countries and time zones.
  • Monitor and ensure the timely execution of tasks by various departments and stakeholders, including reporting, travel coordination, compliance, certification management, and qualification processes.
  • Act as a point of contact to support smooth cross-functional operations and promptly escalate delays or issues to the GM.
  • Attend internal and external meetings with the GM when required.
  • Ensure confidentiality in handling sensitive business information.
  • Provide availability to work flexibly across the different working hours and business days of Italy, UAE, and KSA offices.
  • Be available for occasional international travel if required.

Requirements:

  • Proven experience in a similar executive or administrative support role.
  • Excellent communication and coordination skills.
  • Strong organizational skills with the ability to multitask under pressure.
  • Professional and confidential handling of sensitive information.
  • Proactive mindset and strong problem-solving attitude.
  • Availability to work flexibly across time zones and different weekly calendars (e.g., UAE/Italy weekend vs KSA).
  • Ability to collaborate with multicultural teams across different locations.
  • Fluency in English (written and spoken) is mandatory.
  • Proficiency in Italian is considered a strong plus.
  • Advanced knowledge of MS Office Suite (Outlook, Word, Excel, PowerPoint).
