Procurement Assistant

Employment: Full Time
The Procurement Officer Assistant will play a key support role in the procurement department, assisting with documentation, financial entry, shipment coordination, and compliance tasks. This position requires high attention to detail, familiarity with accounting software (preferably Zoho), and an understanding of procurement workflows.
Key Responsibilities- Preparation of VAT filing and submission of related documents to auditors.
- Posting supplier invoices in Zoho accounting software.
- Preparing VAT reports in coordination with the finance team.
- SGS follow-up for product inspections and certifications.
- Arranging inspection schedules and liaising with inspection agencies.
- Obtaining SGS Certificate of Conformity (COC) approvals.
- Submitting Rules of Value Content (RVC) documents as required.
- Preparation of petty cash reports and reconciliation.
- Coordinating shipments and logistics with freight forwarders.
- Preparing Commercial Invoices (CI) and Packing Lists (PL).
- Arranging loading schedules and ensuring timely dispatch.
- Preparing and updating shipment status reports.
- Updating shipment status in UCB system.
- Creating and managing Purchase Orders (PO) and Proforma Invoices (PI) using Zoho software.
- Filing and organizing all procurement-related documents accurately.
Requirements:
- Bachelor’s degree in Business Administration, Procurement, Accounting, or related field.
- 1–2 years of relevant experience in procurement or administrative support.
- Proficiency in Zoho accounting software or similar ERP systems.
- Strong organizational and documentation skills.
- Basic understanding of VAT processes in the UAE.
- Knowledge of international shipping, SGS procedures, and commercial documentation is a plus.
- Good communication and coordination skills.
- Ability to multitask and work under deadlines.
