About the role

In this role, you will oversee a variety of facilities management tasks to ensure the smooth operation of the building and client satisfaction. Responsibilities include customer service, risk management, safety compliance, coordination of service providers, and continuous facilities improvement.

You will also be responsible for representing Macro by delivering business first-class service to support a complex, multi-disciplined site and meet the client's requirements.

Main responsibilities will include:

  • Liaise with client staff to promptly and effectively resolve issues, coordinating with cleaning, security, and fit-out teams as needed.
  • Assist in maintaining and updating key documentation, including but not limited to the Facilities Management (FM) Manual, and site Risk Register, ensuring compliance with safety regulations and reporting changes.
  • Contribute to the development of policies and procedural guidelines for FM activities, with a focus on sustainability and alignment with business needs.
  • Support the management of client HSE concerns, ensuring compliance with health, safety, and environmental regulations, and promptly reporting non-conformances or incidents for investigation and corrective action.
  • Monitor and enforce service standards and SLAs, participating in continuous improvement, benchmarking, and best practice initiatives.
  • Coordinate with service providers, vendors, and the CAFM administrator to ensure timely completion of preventive maintenance (PPM) tasks, including spot-checking PPMs and managing work orders.
  • Manage additional client-requested works and out-of-scope projects, ensuring quality and timely delivery.
  • Handle administrative tasks such as document control, procedure and process reviews, and issuing Macro Access to Work Permits for specialist cleaning activities when required.
  • Ensure high standards of site presentation through daily monitoring of external public areas, landscaped zones, common area washrooms, and tenant facilities.
  • Proactively manage operational issues to minimise disruptions or shutdowns and assist in identifying and mitigating operational and financial risks.
  • Perform other reasonable duties as requested by the line manager, including adapting work hours and tasks based on evolving needs and priorities.

  • Familiarity with facilities management processes and building systems.
