Company Overview

Global Hotel Alliance is looking for a self-driven and AI-curious Assistant Project Manager to help our technical project teams with process automation and the integration of AI. They will also play a key role in finding and implementing new ways to automate processes across different operational areas.

This person will not only support project management but will also be an exceptional communicator, able to articulate technical concepts clearly to both technical and non-technical stakeholders. The role is based at the GHA Head Office in Dubai and reports to the Senior Director of Project Management.

Key Responsibilities

Projects Support & Automation
  • Assist the Senior Director of Project Management with planning, tracking, and executing technical projects to ensure timely delivery.
  • Help develop and maintain project schedules, timelines, and milestone tracking.
  • Prepare detailed project documentation, including status reports and progress updates.
  • Coordinate meetings, prepare agendas, and capture comprehensive meeting minutes and action items.
  • Collaborate with cross-functional teams, such as E-Commerce, Data & Analytics, and Marketing, to facilitate communication and alignment.
  • Assist in identifying and managing project dependencies, risks, and potential bottlenecks.
  • Provide support for agile and scrum methodologies, including sprint planning, daily stand-ups, and retrospectives.
  • Supporting Projects Portfolio Management
  • Contribute to workflow optimization by identifying and implementing automation opportunities to improve team efficiency.
AI & Process Automation
  • Identify operational areas that can be improved through process automation and AI tools.
  • Assist in developing and implementing automation solutions to streamline workflows beyond just project management.
  • Experiment with and evaluate new AI technologies and tools to improve business operations.
  • Support the integration of AI-powered tools into existing project management and operational processes.
  • Document automation workflows and train team members on new tools and processes.
  • Develop and maintain dashboards and reports that track the impact and efficiency gains from automation initiatives.
Asana Administration
  • Serve as the primary administrator for the Asana project management platform.
  • Design and maintain project templates, workflows, and organizational structures in Asana.
  • Implement and optimize project tracking processes within Asana to improve visibility and team collaboration.
  • Train team members on Asana best practices, features, and new functionalities.
  • Manage user permissions, workspace settings, and system integrations, exc. Using Zapier or n8n.
  • Generate regular reports and dashboards from Asana to provide actionable insights.
Requirements
  • Bachelors degree in Business Administration, Project Management, Information Technology, or a related field.
  • 2-3 years of experience in project coordination or assistant project management roles, supporting cross-functional teams.
  • Experience or strong curiosity about AI and process automation tools, and a willingness to explore new technologies.
  • Advanced proficiency in Asana, including administration, configuration, and workflow optimization.
  • Strong understanding of project management methodologies, including Agile and Scrum.
  • Excellent communication and interpersonal skills, with the ability to effectively collaborate with diverse stakeholders.
  • Proficiency in Microsoft Office and Google Workspace.
Preferred Qualifications
  • Project Management Professional (PMP) certification or equivalent.
  • Hands-on experience with Asana administration and configuration.
  • Knowledge of change management frameworks to support the smooth adoption of new processes.
  • Familiarity with other project management tools such as Jira, Trello, or Monday.com is a plus.
  • Proven ability in project tracking and reporting.
  • Exceptional organizational skills and keen attention to detail.
  • Ability to multitask and prioritize effectively in a dynamic and fast-paced environment.
