Job Brief

We are looking for a detail-oriented and proactive Sales Operations Coordinator to support the General Manager, Sales Team, and business operations. The Sales Operations Coordinator will play a vital role in ensuring smooth execution of sales, payment, and delivery processes by preparing and managing documentation through the CRM, coordinating with relevant departments, and maintaining accurate records in our document storage system.

The Coordinator will also play a significant role in Customer Acquisition.

The ideal candidate will be organized, communicative, and capable of managing multiple priorities, ensuring efficiency and reliability in supporting the companys growth.

Key Responsibilities
  • Prepare and manage documents related to sales transactions, payments, and deliveries using the CRM.
  • Ensure all documents are shared with relevant parties (customers, suppliers, internal teams, etc....) and stored securely in the companys document management system.
  • Assist Accounts Department in preparing customer invoices and delivery orders.
  • Support the GM and Sales Team with quote preparation, order confirmations, proforma invoices (PIs), and purchase orders (POs).
  • Liaise with Accounts, Logistics, and Shipping/Transportation companies to ensure smooth order processing and timely deliveries.
  • Follow up with customers on payments and provide status updates on orders and deliveries.
  • Handle calls, emails, and customer queries, providing prompt and professional responses.
  • Inform clients proactively about unforeseen delays or issues.
  • Generate and maintain sales reports, pipelines, and performance tracking.
  • Maintain an organized filing system and database of all sales-related documents and records.
  • Prepare reports and updates for management as required.
  • Assist in customer acquisition by initiating contact with potential new customers in the local market.
  • Collate customer feedback and insights to support continuous improvement in sales processes.
  • Provide after-sales support and respond to complaints or concerns.
  • Ensure the adequacy of sales-related equipment, materials, and office resources.
  • Assist the GM and Sales Team with ad hoc tasks and administrative support.
  • Manage day-to-day office coordination tasks as required.
Requirements
  • Strong organizational and multitasking abilities.
  • Proficiency in MS Office and experience with CRM systems.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Knowledge of logistics/shipping coordination is an advantage.
