GEMS School of Research and Innovation (SRI) seeks a professional, detail-oriented, and proactive Admissions Secretary to support our admissions team as we prepare to open in August 2025. This role plays a key part in delivering an exceptional admissions experience for families, ensuring accuracy in student records, and supporting enrolment targets through efficient administration and communication.

Key responsibilities:
- Support the SRI Admission team by reaching out to prospective parents in response to admissions enquiries.
- Meet with prospective parents to explain admissions procedures, curriculum, fee structure, and school policies, promoting enrolment through clear and welcoming communication.
- Maintain an accurate record of available places across year groups and manage an up-to-date waiting list of assessed applicants ready for placement.
- Update and manage the student information database daily, ensuring all records are accurate, complete, and securely maintained.
- Assist with key annual admissions processes, including re-enrolment, Parent-School Contract distribution, and registration tracking, in line with agreed timelines.
- Liaise with the Government Relations Executive to ensure all student documentation complies with KHDA and Ministry of Education requirements, including Transfer Certificates and visa/passport records.
- Follow up on outstanding offers, handle admissions enquiries by phone and email, schedule and support assessments, and deliver a high-quality, service-oriented experience to all applicants.
- Maintain and organise files for applicants, enrolled students, exiting students, and alumni, and oversee completion of withdrawal documentation for departing students.
- Remain up to date on all relevant education authority regulations and internal policies to ensure full compliance during the admissions process.
- Support audit readiness by ensuring accurate documentation and adherence to all policies and procedures.
Qualifications:
- Education: Bachelor's degree from a recognised institution.
- Experience: Minimum of two years' experience in an admissions role in a premium school setting is preferred. Familiarity with admissions processes and front-of-house responsibilities is highly desirable.
- Communication skills: Exceptional verbal and written communication skills, with the ability to interact effectively with a range of stakeholders.
- Organisational skills: Strong organisational abilities, attention to detail, and the capacity to manage multiple tasks simultaneously. Proven ability to meet targets and work independently to support admissions objectives.
- Technical proficiency: Competence in using office software, including Microsoft Office Suite, and experience with database management systems.
- Interpersonal skills: A friendly and approachable manner, with a commitment to providing excellent customer service.
