Job Overview
We are seeking an experienced and detail-oriented Executive Assistant with strong organizational, communication, and problem-solving skills. This individual will be capable of managing complex executive tasks, ensuring seamless daily operations, and maintaining effective coordination across teams and stakeholders.
Tasks and Responsibilities
Executive Assistant to the General Manager (Primary Role):
- Manage the GMs calendar and ensure efficient scheduling of meetings, travel, and events
- Prepare reports, presentations, and meeting minutes; follow up on key action points
- Coordinate with Group HQ in Trkiye to ensure smooth communication and timely execution of organizational requirements
- Handle executive correspondence and maintain confidentiality of sensitive information
- Support the GM in managing priorities, anticipating needs, and ensuring deadlines are met
- Act as the main point of contact for internal teams and external stakeholders, representing the GMs office with professionalism
- Organize domestic and international travel itineraries, including visa arrangements, flights, hotels, and logistics
- Oversee special projects, board-level preparations, and key strategic initiatives as delegated by the GM
Front Office Support:
- Greet and attend to visitors in a professional manner, ensuring a positive first impression
- Coordinate meeting room bookings and ensure rooms are prepared for executive meetings
- Handle incoming calls and direct them appropriately, ensuring smooth communication flow
- Support basic office administration tasks (e.g., courier coordination, stationery orders) where required
- Take responsibility for the factory pantries and demo kitchen, including monitoring required materials, ensuring tidiness, and maintaining proper organization at all times
- Ensure meeting rooms are properly managed, kept orderly, and ready for use at all times
- Maintain the general order and organization of the Management Office, ensuring a professional and well-presented environment
- Carry out miscellaneous tasks and responsibilities assigned by the General Manager that may not be specifically captured in this job description
Requirements:
- Bachelors degree in Business Administration, Management, or related field (Masters preferred)
- 57 years proven experience as Executive Assistant or Personal Assistant supporting senior executives (GM, CEO, or C-Level)
- Strong proficiency in MS Office Suite and virtual meeting tools (Teams, Zoom, SharePoint)
- Fluent in Turkish and English; Arabic is an advantage
- Experience in FMCG, manufacturing, or multinational environments is preferred
