ABOUT THE COMPANY
Waves Investments & Properties L.L.C. is a Dubai-based real estate brokerage specialising in
off-plan and secondary market transactions across the UAE. The firm works closely with leading
developers including DAMAC Properties, Binghatti, and other marquee names in the Dubai
property landscape. We serve a diverse client base of investors, end-users, and HNWIs
navigating one of the world's most dynamic real estate markets.
ROLE OVERVIEW
The Executive Assistant serves as the CEO's operational right hand, managing the day-to-day
rhythm of the business, driving cross-functional execution, and ensuring the leadership office
operates with precision. This is not a traditional administrative role; it demands commercial
acumen, real estate market literacy, and the ability to context-switch between strategic projects
and operational firefighting. The ideal candidate will function as a force multiplier for the CEO,handling everything from investor communications to CRM governance to content strategy.
KEY RESPONSIBILITIES
CEO Office & Executive Support- Manage the CEO's calendar, meeting cadence, travel logistics, and daily priorities
- Prepare briefing notes, talking points, and presentation decks for client meetings,
- Draft and manage internal and external correspondence on behalf of the CEO
- Establish and enforce meeting protocols, follow-up tracking, and action-item
- Act as gatekeeper and first point of escalation for matters requiring CEO attention
- Own and optimise end-to-end operational workflows across sales, finance, and client
- Oversee CRM administration (Zoho CRM / Leadrat or equivalent), including data
- Prepare and maintain client-facing documents: payment plan PDFs, invoices, expense
- Coordinate with finance on commission tracking, DLD fee processing, and payment
- Manage vendor and technology relationships (CRM providers, marketing tools, office
- Lead internal reporting: weekly dashboards, lead conversion metrics, and deal pipeline
summaries
Real Estate Transaction Support- Support the sales team on complex transactions, including documentation, developer
- Handle client escalations related to cancellations, refund processing, fee waivers, and
- Liaise with developers (DAMAC, Binghatti, etc.) on unit availability, payment plan
- Maintain an updated knowledge base of ongoing projects, inventory status, and market
pricing benchmarks
Content & Brand Communication- Drive the company's LinkedIn and social media presence through market commentary,
- Draft copy for Instagram, LinkedIn, and other platforms aligned with the firm's positioning
- Monitor market trends, regulatory changes, and competitor activity; distill insights into
actionable briefings for leadership
Lead & Event Management- Manage inbound and event-sourced lead lists,cleaning, enriching, and distributing leads
- Coordinate logistics for property exhibitions, developer events, and client engagement
- Build and maintain lead tracking dashboards with KPIs, data quality flags, and
conversion analytics
Strategic Projects- Run cross-functional projects as assigned by the CEO, from market research and
- Identify operational bottlenecks and propose solutions; build business cases for new
- Serve as the CEO's proxy in internal and external meetings when required.
- Bachelor's degree in Business, Engineering, or related discipline from a Tier-1
- 5–10 years of experience in operations, management consulting, real estate, or / EA
- Demonstrated experience in Dubai's real estate market or a high-growth, deal-driven
- Strong proficiency in CRM platforms (Zoho CRM, Salesforce, or similar) and data
- Advanced skills in Microsoft Office (Excel, PowerPoint, Word) and Google Workspace
- Excellent written and verbal communication in English; Arabic proficiency is a strong
- Comfort with financial documents: invoices, commission structures, payment plans, P&L
- Experience managing social media content and brand communication for a professional
- Self-starter with high agency — able to operate independently with minimal supervision
- Strong organisational skills with the ability to manage multiple priorities under tight
deadlines
PREFERRED ATTRIBUTES- Prior experience in a startup or founder-led organisation where role boundaries are fluid
- Familiarity with DLD processes, RERA regulations, and UAE real estate transaction
- Knowledge of off-plan vs. secondary market dynamics in Dubai
- Experience with data visualisation and dashboard tools (Zoho Analytics, Power BI,
- Understanding of UAE visa structures, MOHRE processes, and basic employment law.
